Monitoring your company’s fuel card program can be tough to do during your busy day. Now through your Echo™ or Alexa-enabled device, you can use ClearView Snap to:
- Track your fleet's fuel volume and dollars spent - Identify high spend drivers and savings opportunities - Learn of exceptions, which are unusual activities that could indicate potential misuse or fraud - Get useful tips to help you manage your fleet
You can move on if there's nothing new to report since you last used the skill.
We’ll also give you occasional tips that can help prevent problems and stay on top of any concerns that arise.
Getting Started To hear the latest summary report about volume and spend, just say: "Alexa, ask ClearView Snap for the latest summary," or simply, "Alexa, open ClearView Snap."
Setting Time Period The summary report also tells you the top exceptions that were found during the last reporting period, “as-of” the date when the report was run. The default reporting period is one week, a rolling 7 days ending on the “as-of” date. You can easily change the default time period to one month, by saying:
“Alexa, ask ClearView Snap to change the time period” or “Alexa, ask ClearView Snap for last month’s summary.”
The ClearView Snap skill will remember whatever reporting period that you last used and will use it going forward.
Getting More Details
After hearing the summary report and the top exceptions, you likely want more details. Try saying:
“Alexa, ask ClearView Snap about savings opportunities,” or “Alexa, ask ClearView Snap about potential misuse,” or “Alexa, ask ClearView Snap about exception details.”
If there are multiple exceptions, you can hear them one-by-one and navigate through them by saying “Next” or “Previous.” You can also ask Alexa to repeat or start over from the beginning.
When you are listening to the details of exceptions, you may want to interrupt Alexa and skip to the next exception. If you want to interrupt, you can say:
“Alexa, next,” or “Alexa, previous,” or “Alexa, stop.”
Six Exception Types
For the reporting time period, there are 2 exception types that could represent savings opportunities, and 4 that could represent potential misuse of gas cards by employees or indicate fraud.
Savings Opportunities (where savings are $5 or more per week):
1. Non-regular Fuel: Total # of non-regular grade gas purchases and associated dollars. 2. High Price Per Gallon: Total # of regular grade gas purchases with higher than average prices for the area and associated dollars.
Potential Misuse: 3. Multiple Transactions Per Time Period: Total # of transactions and associated dollars when an employee makes more than 1 purchase within any 15 minute increment of time. 4. Exceeding Tank Capacity: Total dollar value associated with transactions that exceeded the tank capacity for the vehicle. 5. Fuel Mismatch: Total # transactions and associated dollars when the type of fuel purchased isn’t the type of fuel required for the vehicle’s engine. 6. Weekend Fueling: total # of transactions and associated dollars where employees or vehicles were fueled on a Saturday and Sunday.
If you only want to drill into the details of a specific exception type, you can say:
“Alexa, ask ClearView Snap for my non-regular fuel exceptions.” “Alexa, ask ClearView Snap for my high price per gallon exceptions.” “Alexa, ask ClearView Snap for my multiple transactions exceptions.” “Alexa, ask ClearView Snap for my exceeding tank capacity exceptions.” “Alexa, ask ClearView Snap for my fuel mismatch exceptions.” “Alexa, ask ClearView Snap for my weekend fueling exceptions.”
At any time, if you want to navigate to an area of interest, or if you want to hear the summary report and more details again, just say:
“Alexa, ask ClearView Snap for help.”
Come back every week to check on your fleet’s fuel program performance and your employees’ fuel purchasing behavior.
